Event Planning - Music Checklist of
Things to Consider and Questions to Ask
If there is a band:
1. Do they have references or recommendations?
2. Have they performed at an event like yours before?
3. How much setup time do they need?
4. How often will they take breaks from playing? How long is a break?
5. What kind of music do they play? Is there a variety or is it all one genre?
6. Will they be paid with one check or does each musician need a check?
7. Do they provide you with a contract and invoice?
8. Can they transition from being background music to providing dance music?
9. If you pay anyone more than $600 per year, can they give you a W-9 IRS form?
If there are vocalists:
1. Do they have references or recommendations?
2. Have they performed at an event like yours before?
3. How long can they sing without losing their voice?
4. Will they need breaks during the service/event? How often and for how long?
5. Do they have only one style of delivery or can they mix it up?
6. How do they balance their sound with their accompanist?
7. Can they be heard over the organ or piano or other instruments?
8. Do they provide you with a contract and an invoice?
9. If you pay anyone more than $600 per year, can they give you page 1 of a W-9 IRS form?
Music for weddings:
1. Does each musician’s fee include appearances at rehearsals as well as the actual wedding?
2. Is there special music chosen by the bride and groom and their families?
Music for funerals:
1. Is the musician playing for a viewing (or wake) as well as the funeral service?
2. Are there special hymns to be selected by the family?
For all events:
1. Are there enough power outlets near the spot where you want the musicians to perform?
2. Do the musicians need a staging area for their equipment, cases, costumes, etc.?
